Working privacy notice.

This is a first working draft for the private form test. It will be finalised before the website accepts genuine applications or questions.

Who is responsible

Managed by Iain Mackenzie.

Iain Mackenzie manages this private website test and can be contacted at iain@iainmackenzie.ltd. The final notice will identify the legal person responsible for personal information before genuine submissions are accepted.

Information and purpose

Only what is useful for an enquiry.

For the private test, the forms may collect names and contact details; who is completing an application; the student’s year group or age; parent or guardian details where applicable; country or region; current Physics study, examination board or curriculum, experience and aims; and information included in a question or optional response.

This information would be used to respond to an enquiry, understand the student’s circumstances, arrange an initial conversation and, if appropriate, discuss tuition arrangements. It would not be used to screen applicants out before an initial conversation. The usual response target is within two working days.

Please do not include sensitive medical, therapeutic or other unnecessary personal information in an enquiry or application.

Lawful basis and sharing

Handled for a clear reason.

The intended lawful basis for responding to enquiries and considering or arranging tuition is legitimate interests. This basis, and the final processing arrangements, will be confirmed before genuine submissions are accepted.

For the private test, form information is processed through Netlify, which is configured to send submission notifications to iain@iainmackenzie.ltd. Email is used for applications and important confirmations. WeChat may be used for initial or practical communication, particularly with families in China, but not for sensitive or safeguarding information. Netlify’s processing terms, storage arrangements and any international transfers will be checked and described before genuine submissions are accepted.

Information will not be sold or used for unrelated marketing. The site currently uses no analytics or non-essential tracking cookies.

Retention and young people

Kept only as long as needed.

Information will be kept only for as long as reasonably necessary to respond to the enquiry, consider or provide tuition, meet any relevant record-keeping requirement and deal with a potential question or dispute. Enquiries and unsuccessful applications are intended to be kept for six months after the last contact. Records relating to ongoing tuition will be kept for the duration of the arrangement and for an appropriate period afterwards; the deletion process will be confirmed before genuine submissions are accepted.

Where a student is under 18, or is still at school, the appropriate involvement of a parent or guardian and the communication arrangements will be discussed before tuition begins. A student can explain why a different arrangement may be appropriate.

Your rights

Questions about your information.

You may ask what personal information is held about you and request correction or deletion where applicable. Depending on the circumstances, you may also have rights to restrict or object to processing.
